JOBS

Manager of Finance and Administration

The Manager of Finance and Administration will report to and be a strategic thought-partner for the Global Executive Officer (CEO). The successful candidate will be self-motivated and will lead and develop an internal team to support the following areas: Finance, Administration, and Development.

The Manager of Finance and Administration will play a critical role in partnering with the senior leadership team in strategic decision-making and operations as The Keep A Breast Foundation continues to enhance its quality programming and build capacity. This is a tremendous opportunity for a finance and operations leader to maximize and strengthen the internal capacity of a well-respected, high-impact organization.

RESPONSIBILITIES

FINANCIAL MANAGEMENT

  • Oversee all accounts, ledgers, and reporting systems, ensuring compliance with appropriate GAAP standards and regulatory requirements
  • Processes and records biweekly payroll with external payroll service. Maintain a system to allocate wages and employer taxes across programs and funding sources.
  • Administers and reconciles employee benefits, quarterly payroll, payroll tax reports, and annual 1099 forms.
  • Ensures proper handling of bank accounts, including monthly bank reconciliations; manages transfers, accounts payable and receivable, manages organizational cash flow.
  • Prepare and record assets, liability, revenue, and expense entries and monitors progress and changes quarterly ( preparing balance sheets, profit and loss statements.)
  • Ensures compliance with established internal controls over accounting procedures;
  • Implement robust contracts management and financial management/reporting system;
  • Assist in preparation of documentation and reports for tax filing and audit.

ADMINISTRATIVE MANAGEMENT

General Office Duties:

  • Process incoming and outgoing communications including email, phone calls, and mail. Take messages as needed and distribute properly throughout the office.
  • Organize and schedule meetings and appointments for and at the direction of the Officers.
  • Provide excellent customer service and general support to visitors.

Administration:

  • Assists Director level positions in the supervision and management of all office functions.
  • Create and update partnership contracts consistently.
  • Manage all the insurances of The Keep A Breast Foundation;

Salesforce CRM Database Administrator:

  • Overall day to day management of Salesforce CRM, emphasizing user engagement and adoption.
  • Work closely with the team, as well as marketing, to ensure that business needs of each campaign is met.
  • Transfers prospects, leads, and opportunities. Updates and maintains proprietary sales team setup.

Development:

  • Cooperates with the Board of Directors and Board Committees as directed by the Global CEO. Attends meetings, helps to prepare agendas, communicates with and prepares data as needed.
  • Assist in Keep A Breast committees, Development Committee & Non Toxic Revolution Committee – coordinate monthly meeting times, collect meeting minutes, keep committee members informed and updated.
  • Assist Project Manager in the various Keep A Breast projects.  

QUALIFICATIONS

  • At least seven to 10 years of overall professional experience; ideally six-plus years of broad financial and operations management experience
  • Bachelor’s Degree in accounting, business, economics, finance, or related field with at least three years of relevant job experience. Master’s Degree preferred.

Non Profit:

  • nonprofit account and management experience desirable
  • Knowledge of, and experience with, best practice accounting processes for non-profit organizations.
  • A demonstrated ability to administer employment law, employee benefit programs and compensation
  • A track record in grants management
  • Personal qualities of integrity, credibility, and dedication to the mission of The Keep A Breast Foundation

Organization skills:

  • A successful track record in setting priorities; keen analytical, organizational, problem solving skills, and multitasking abilities, with attention to detail.
  • Ability to understand and manage a complex organization and achieve its goals.
  • Ability to work independently and meet recurring deadlines.

Software Proficiency:

  • Excellent computer skills from education and experience with broad range of information systems software (Word, Excel, Powerpoint, Database system with preference shown for experience with Salesforce).Minimum of one year Salesforce administrative experience.
  • Technologically savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software.

INTERNSHIPS

PROJECT MANAGEMENT INTERN – Fit 4 Prevention 

Los Angeles Office

Keep A Breast is looking for a Project Management Intern for our October Outreach Initiative. As an intern, you will play an integral role in assisting the Community Outreach Team, as well as the core, Keep A Breast Team in Los Angeles, California. This internship position will provide someone with substantial nonprofit and outreach experience, including research and writing, measuring program outcomes, and Salesforce experience.

JOB PURPOSE

The purpose of Project Management Intern is to assist the Director of Community Outreach executing the October Initiative – Fit 4 Prevention. Fit 4 Prevention is a movement to raise awareness about breast cancer prevention through fitness and wellness. Our goal is to inspire people to reduce their risk of cancer by adopting a healthier, more active lifestyle and to maximize the fundraising potential of Keep A Breast.

The Project Management Intern works closely with the entire team on Fit 4 Prevention Planning, Organizing and Executing a large quantity of 3rd party events, as well as the Marketing team to document and promote events and campaign.

DUTIES AND RESPONSIBILITIES:

  • Assist team in outreach and partnering efforts
  • Directly communicate and coordinate with Partners
  • Coordinate event production and logistics
  • Coordinate events and fundraising efforts
  • Coordinate social media efforts for the campaign
  • Successful planning and production of KAB outreach
  • Development of ideas and strategies for future KAB events
  • Help identify new opportunities for fundraising through F4P events
  • Fulfill shipment orders
  • Attending events on behalf of KAB.
  • Perform basic administrative duties and day-to-day tasks

QUALIFICATIONS:

  • Must be organized and reliable.
  • Have a passion for living a healthy, mindful, lifestyle.
  • Strong interpersonal skills and professional demeanor.
  • Have access to your own computer equipment.
  • Experience in Microsoft Office, Google Docs, Social Media, WordPress, and Squarespace.
  • Be able to receive college credit. 4-month minimum, 10-20 hours per week (this is flexible), sometime between the hours of 10 am – 5 pm.

PR & MARKETING INTERN – Fit 4 Prevention  

Los Angeles Office

Keep A Breast is looking for a PR & Marketing Intern for our October Outreach Initiative. This internship position will provide someone with substantial nonprofit public relations and marketing experience, including research and writing, measuring program outcomes, and online and social media marketing experience.

JOB PURPOSE

The purpose of PR & Marketing Intern is to assist the Director of Community Outreach executing the October Initiative – Fit 4 Prevention. Fit 4 Prevention is a movement to raise awareness about breast cancer prevention through fitness and wellness.   • Work alongside the Outreach Team to research, write, and pitch stories for blogs, articles, and publication.
  • Writing blogs and event listings for events
  • Promoting Fit 4 Prevention initiatives and events across platforms and to the public through news sources, bloggers, and other influencers.
  • Creating and distributing pitches, one sheets, and press releases.
  • Track and document media coverage on a daily basis
  • Work alongside the Marketing department to produce online content for www.fit4prevention.com
  • Brainstorming and strategizing content for the latest initiatives.
  • Researching, and writing content to publish across platforms.
  • Pushing out content online via social media and other sites online.
  • Researching blogs, websites, social media connections.
  • Attending events on behalf of KAB.
  • Perform basic administrative duties and day-to-day tasks

QUALIFICATIONS:

  • Must be organized and reliable.

Development Intern

Interested in working with Keep A Breast supporters on ways to help fundraise? Help us find new ways to reach out to young people and help our team to raise funds for our education and support programs!

JOB PURPOSE

The Development Department of Keep A Breast creates and implements the organization’s strategic development and fundraising efforts. As an intern you will play an integral role in assisting the Director of Development as well as the core Keep A Breast Team.

This internship position will provide someone with substantial nonprofit development and management experience, including grant prospect research and writing, solicitation strategizing, measuring program outcomes, and Salesforce CRM.

DUTIES AND RESPONSIBILITIES:

  • Salesforce CRM
  • Assist staff in account creation, opportunities and campaigns data entry and creation, and reporting building
  • Assist in historic data entry
  • Under guidance, assist in Salesforce customization and implementation
  • Research of potential Salesforce add-ons to improve staff efficiency and reporting tools
  • Programs support
  • Assist in ensuring successful program measurements to prove both program impact and achievement of long-term goals and objectives
  • Assist in the creation of and strategy of program funding possibilities
  • Strategic partnerships and funding opportunities
  • Research potential grants possibilities that align within Keep A Breast’s mission
  • Draft attractive grant proposals (for general operating costs, programs support, and event sponsorship)
  • Solicitation strategy and activation
  • Assist in activating individual donor campaigns
  • Assist in managing and activating donor acknowledgment strategy

Required Knowledge, Skills and Abilities 

  • Motivated and responsible individual looking to gain real-world experience of nonprofit work
  • Desire to learn more about fundraising and philanthropy
  • Critical/strategic thinking skills with strong attention to detail
  • Ability to work independently but also with a team and a supervisor
  • Salesforce CRM knowledge a plus and/or a desire to learn how to customize and implement

OFFICE VOLUNTEER – Los Angeles, CA

We are always looking for extra helping hands in our offices. Volunteers help out in various roles ranging from shipping Treasured Chest Program kits to breast cancer survivors, helping pack for local or summer events/tours like the Vans Warped Tour to assisting with organizing educational packs for fundraisers and events around the country.


COMMUNITY OUTREACH INTERN – Los Angeles, CA

JOB PURPOSE
The purpose of Community Outreach intern is to assist the Director of Community Outreach  in event planning and volunteer organization, and to maximize the fundraising potential of Keep A Breast tours and community events.

The Community Outreach intern works closely with the entire team on event planning, as well as the Marketing team to document and promote community events and tours.

DUTIES AND RESPONSIBILITIES:
• Assist team on outreach and partnering efforts
• Help coordinate event production and logistics
• Coordinate events and fundraising efforts
• Help manage contracts, budgets, and travel arrangements, as necessary
• Help coordinate volunteers for community events and tours
• Successful planning and production of KAB outreach and action events
• Smooth operation and financial soundness of KAB Tours and events
• Careful accounting of event/tour donations and in-kind donations
• Development of ideas and strategies for future KAB tours and events
• Measurable increase in event/tour-based fundraising
• Help identify new opportunities for fundraising through DIY Action events

QUALIFICATIONS:
Must be organized and reliable. Have access to your own computer equipment. Must be able to receive college credit. 3-month minimum, 8-10 hours per week (this is flexible), sometime between the hours of 10am – 5pm.

Do you have a passion for social media? Interested in creating content and engaging KAB supporters? Social is a big part of how we reach young people and we need your help.

JOB PURPOSE
The purpose of the Social Media and Content intern is to assist the Marketing team with the strategy, management and content creation for all of Keep A Breast’s social media channels.

DUTIES AND RESPONSIBILITIES:
• Work alongside the Marketing team to manage and maintain social media properties.
• Assist with curating, creating and scheduling daily and weekly content for blog and social properties.
• Assist creating social media strategy for new initiatives and events.
• Engaging with Keep A Breast¹s audience with relevant day-to-day content
• Assist with gathering and scheduling educational tips and facts
• Help coordinate online blogs for keep-a-breast.org and nontoxicrevolution.org
• Brainstorming and strategizing content for the latest initiatives
• Researching, and writing content to publish across platforms
• Facilitating necessary photo shoots for content creation
• Research the latest emerging social media trends to further KAB reach
• Be the KAB social media lead at local events and fundraisers

QUALIFICATIONS:
Must be organized and reliable. Have access to your own computer equipment. Must be able to receive college credit and commit to 2-3 times a week for 2-3 months.
